Introduction

This Privacy Policy explains how NSJ Consulting LLC (“we,” “us,” or “our”) collects, uses, and protects information through the GV Provets Tracker Chrome extension (“Extension”). This Extension is a business-to-business (B2B) tool designed for veterinary clinics using ProVet Cloud practice management software.

Important: This Extension is intended for workplace use. It is installed by veterinary clinic owners or administrators on staff workstations with the employer's authorization. Individual employees do not sign up for or install this Extension independently.

Information We Collect

The Extension collects activity data exclusively from ProVet Cloud (us.provetcloud.com) to help clinic owners understand patient flow and staff interactions. We collect:

• Page Information: URLs and page titles from ProVet Cloud pages visited during work
• User Actions: Timestamps of clicks and form inputs within ProVet Cloud
• Page Content: Element text from ProVet pages, which may include staff names, client (pet owner) names, and pet names
• ProVet Identifiers: Client IDs and Patient IDs (internal ProVet reference numbers)
• Workstation Names: Computer identifiers configured by the clinic, which may identify individual staff members
• Technical Identifiers: Session IDs and batch IDs used to group related events together

Information We Do Not Collect

The Extension is designed with privacy boundaries. We do not collect:

• Passwords, login credentials, or authentication tokens
• Payment information, credit card numbers, or financial data
• Data from any website other than ProVet Cloud (us.provetcloud.com)
• Geographic location data
• Personal email, messages, or communications
• Browser history outside of ProVet Cloud
• Files from your computer

How We Use Your Information

The data collected is used exclusively to:

• Track patient visit duration and flow through the clinic
• Identify which staff members interact with each patient during a visit
• Generate workflow analytics and reports for clinic management
• Help clinics identify operational bottlenecks and improve efficiency

Data Transmission and Storage

Collected data is transmitted securely via HTTPS to our servers at executivepethealth.vercel.app (transitioning to executivepethealth.com). Data is stored on secure cloud infrastructure with encryption at rest and in transit.

Who Can Access Your Data

Access to collected data is strictly limited to:

• Clinic Administrators: The veterinary clinic owner or administrator who subscribes to and manages the service
• NSJ Consulting LLC: For technical support, maintenance, and service improvement purposes only

We do not sell, rent, or share your data with third parties for marketing or advertising purposes.

Data Retention

We retain collected workflow data for 24 months from the date of collection. This retention period allows clinics to analyze trends, compare performance over time, and generate historical reports. Clinic administrators may request earlier deletion of their data at any time. Upon termination of a clinic's subscription, data is retained for 90 days to allow for reactivation or export, after which it is permanently deleted.

Data Security

We implement appropriate technical and organizational measures to protect collected data, including:

• HTTPS encryption for all data transmission
• Encryption of data at rest
• Access controls limiting data access to authorized personnel
• Regular security reviews and updates

Workplace Use and Employee Notice

This Extension is a workplace productivity tool installed by employers (clinic owners/administrators) on business workstations. If you are an employee using a workstation with this Extension installed, your employer has authorized its use as part of their clinic operations. The Extension monitors only work-related activity within ProVet Cloud. Questions about workplace monitoring policies should be directed to your employer.

Your Rights

For Clinic Administrators: You may request access to, correction of, or deletion of your clinic's data by contacting us at the email address below. You may also request a copy of your data in a portable format.

For Clinic Employees: Please contact your employer (the clinic administrator) regarding any questions about the data collected about your work activities. Employees may also contact us directly with privacy concerns.

Third-Party Services

The Extension interacts with ProVet Cloud, a third-party practice management system. Your use of ProVet Cloud is governed by their own terms and privacy policy. We are not responsible for ProVet Cloud's data practices.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify clinic administrators of material changes via email or through the Extension. The “Effective Date” at the top of this policy indicates when it was last revised.
